The Bureau of Engineering (BOE), Street Improvement Division (SID) is seeking two (2) Management Analysts or Management Assistants (in-lieu). Applications will be accepted from candidates in the Management Analyst classification, as well as the Management Assistant classification for in-lieu employment.
Minimum Experience Requirements
Current full-time employment with the City of Los Angeles as a Management Analyst or Management Assistant.
Specific Available Positions:
Administrative & Contracts Section – 1 Vacancy
The Management Analyst (MA) or Management Assistant (in lieu) assists the Senior Management Analyst I to provide administrative support in the SID Administrative & Contracts Section. The incumbent will also provide administrative support in tracking and answering inquiries from the Offices of the Controller, City Clerk, Treasurer, and Accounting on issues related to authority documentation, address changes, payment issues and coordination with the consultants and contractors. Provides support to the Senior Management Analyst I in the control and tracking mechanisms for contracts, task order solicitations, task orders, related payment expenditures, funding allocations, and notice to proceed. The position will work closely with SID Project Managers, Office of Accounting staff and the SID Contract Management administrative team, as well as the BOE Budget Section in the Administration Division. The incumbent will also perform a variety of administrative and personnel-related duties to support the SID Manager and staff.
Grants & Finance Section – 1 Vacancy
The Management Analyst (MA) or Management Assistant (in-lieu) assists the Senior Management Analyst I to provide administrative support in the SID Grants & Finance Section. The incumbent will generate FMS and Merlin reports to provide BOE Management and the Office of Accounting with requested financial and budgetary information. Assist with preparing statistical reports and official department correspondences per requests from the Controller’s Office, the Office of the City Administrative Officer, and the Office of Accounting. Provides inter-departmental/inter-agency coordination between the Program Management Consultant and City departments or other governmental agencies and assuring that City policies are being followed and that proper documentation is being maintained. The incumbent will also assist in preparation of the SID annual proposed budget and process billings for various grant and project-related reimbursements.
Skills, Knowledge and Abilities:
The SID is looking for candidates who possess the following skills, knowledge and abilities, including but not limited to:
- Good understanding of the City Charter and Administrative Code, and other applicable City practices and procedures.
- Good understanding and working knowledge of the City’s Financial Management System (FMS), InfoAdvantage, and MERLIN.
- Good oral and written communication skills.
- Good skills in optimizing systems and procedures.
- Good knowledge of Google Workspace; Microsoft Word, Excel, PowerPoint, and Box.
- Ability to work independently and with minimum supervision.
- Ability to prioritize and complete multiple assignments.
- Excellent ability to work effectively with personnel from other offices, departments, bureaus, and the public.
