ADMINISTRATIVE COORDINATOR I
FACILITIES, CENTRAL AND DOCUMENT SERVICES DIVISION
ADMINISTRATIVE MANAGEMENT BRANCH
SALARY RANGE: $65,437 - $95,693
POSITION: Administrative Coordinator I for the Facilities, Central and Document Services Division in the Administrative Management Branch.
SECTION: This Division is responsible for handling a multitude of office functions related to facilities, infrastructure, public safety and administrative services.
DUTIES AND RESPONSIBILITIES: The Administrative Coordinator I will support the City Attorney’s Office in the day-to-day operations of the Division. The position will be headquartered at 200 N Main St., in downtown Los Angeles.
Responsibilities include working with staff in the City Attorney’s Office and various City Departments to:
- Oversee the LADOT Mileage Placard Program;
- Oversee the GSD City Fleet usage;
- Oversee burn-box retrieval and destruction protocol;
- Serve as Deputy Emergency Coordinator including preparing emergency procedures manual, overseeing floor wardens and recruiting for emergency response team, managing facility evacuations and working with the Fire Department to maintain compliance with fire codes at all City Attorney facilities. Coordinate mandated Disaster Services Worker training;
- Serve as Deputy Public Safety Coordinator including managing LAPD communications;
- Coordinate requests for maintenance services in Office facilities (City Hall East, City Hall, Fig Plaza, branch offices, and courthouses);
- Generate reports related to facilities maintenance requests, construction projects, ergonomic evaluation equipment, visitors, and visitor parking requests;
- Manage ergonomic evaluation equipment disbursement and installation;
- Assist with facilities related program evaluations and provide input for areas of improvement;
- Assist with office moves including arranging necessary accommodations with the Human Resources, and working with partner departments to accomplish moves;
- Assist, as needed, with supervision of construction projects and facility upgrades;
- Coordinate security badges for employees, contractors, volunteer attorneys and LAPD staff;
- Oversee special events set up and support as needed;
- Work with executive and administrative staff to support office goals and needs;
- Assist with facilities management as assigned by the Division Director.
REQUIREMENTS: At least one year of full-time professional administrative experience performing duties and responsibilities related to the Administrative Coordinator I position.
- Excellent organizational and interpersonal skills, the ability to exercise independent judgment and work well under pressure with a minimum of supervision.
- Ability to maintain discretion and confidentiality.
- Ability to multi-task and pay close attention to detail.
- Ability to work closely and harmoniously with personnel throughout the Office as well as from other agencies.
- Ability to travel to various City Attorney Office locations.
- Proficiency with computer programs including MS word and Excel.
- While the typical hours for this position are from 8:00 a.m. to 5:00 p.m., Monday through Friday, flexibility is required. Reliable attendance and punctuality is mandatory.
- Applicants must possess a valid California Driver License.
DESIRABLE QUALIFICATIONS: Experience with project management.
Experience working with other City Departments.
PROBATION: Appointment to this exempt position (non Civil-Service) will be subject to a one (1) year probationary period as required by Section 1050 of the City Charter. Successful completion of the one (1) year probationary period will result in tenure with the office.
