The Library Department is seeking to fill one (1) Senior Administrative Clerk position.  The position is assigned to the Human Resources Office, located at the Central Library (630 W. 5th Street, LA 90071).  To assist candidates in determining their interest in, and suitability for the position, we are providing a summary of the job duties.  Please note that this description is not all-inclusive.


Summary of Job Duties

·       Maintain updated knowledge of Library Department and City policies and procedures in order to properly convey the information to management, staff, and public.

·       Supervise clerical staff - Managing/issuing work assignments; tracking status of completion of assignments; reviewing quality of work.

·       Department hiring coordinator for all Civil Service, Exempt, Intermittent, and Citywide transfer appointments. Schedules candidates for interviews; coordinates completion of onboarding documents; arranges and tracks fingerprint/medical appointments; processes non-select letters; enters dispositions into NEOGOV; processes Certification letters to LACERS for newly eligible staff, etc.

·       Works with various City department Personnel Offices in order to secure release dates, transfer documents, personnel folders, etc.

·       Workday: Process new hires, promotions, transfers, terminations, retirements, changes to personal records (address changes, emergency contact changes), etc.

·       Collaborate with HR Analysts/Director and/or Library Administration on various projects. As such, this position requires the ability to properly articulate oneself.

·       Prepare the department’s Organizational Chart for the new fiscal year’s proposed budget. Once approved, process the final copy and maintain changes made throughout the year.

·       Generate and retain various letters, correspondence and reports.


 Special Requirements

·       Human Resources, PaySR and Workday experience is required in order to apply.

·       Candidates must have an advanced level of Microsoft Excel and Google Suite knowledge, as 80% of assignments are performed using these programs.

·       This position is fast-paced and requires the ability to manage multiple responsibilities at once.
