The Fire Department’s Administrative Services Bureau, Emergency Medical Services, Emergency Operations, and Fire Prevention Bureau seeks to fill up to four Senior Administrative Clerk vacancies. Some of the responsibilities include:

Administrative Services Bureau

Process General Form 41 documents using the PaySr System. Input all personal data and relevant employment information and maintain all employee personnel folders for civilian and sworn member. Answer phones and assist members with all questions, verify employments via telephone, and process new City employees, transfers, and paygrade advancements. Miscellaneous duties include sort and distribute mail, track inventory, and monitor all office machinery.

Emergency Medical Services Bureau

Receive paramedic (PM) and Emergency Medical Technician (EMT) recertification applications and review, forward, process, and track them through the State and Local Emergency Medical Services Agencies.  Maintain records, timelines, and due dates for members PM and EMT applications for re-licensure and re-certification. Furnish information at a public counter and over the telephone, regarding functions, procedures, activities and policies of the department. Assist in scheduling and member sign-ups for educational classes for EMT and Paramedics.

Emergency Operations Bureau

Perform general office duties. Date, time stamp, sort, and distribute incoming mail. Review and handle incoming correspondence and documents for processing. Provide clerical support to sworn members assigned to office. Generate and modify reports reviewed by office supervisor. Review, edit, and monitor office memos, agendas, and other correspondence.

Fire Prevention Bureau

Respond to time sensitive correspondence, such as tract map/parcel map hearing notices and environment impact reports. Enter data and communication in the Assignment Tracking and Reporting System (ATRS). Schedule and attend meetings, and take minutes of meetings. Operate various office equipment and maintains accurate filing system in electronic format and paper file. Process general inquiries by phone or email. Sort daily incoming and outgoing mail and prepares mail for delivery.
